Project Administrator – Data Centre Project
Location: On‑site – Milan
If you like keeping things organised, running smoothly and (mostly) predictable, this role will probably suit you. If you enjoy being at the centre of a large, complex project without having to wear a hard hat all day, it’ll suit you even more.
We’re building a major data centre. That means a lot of people, a lot of moving parts, and a daily stream of admin that either gets handled properly… or becomes tomorrow’s headache. We’d like you to help us avoid the headaches.
This isn’t a job where you sit quietly in the corner. You’ll be the first face some people see on site, the person everyone asks for clarity, and the one who spots what needs doing before anyone else does. If that’s your style, keep reading.
What you’ll be doing
You’ll make sure the project runs smoothly by handling the things that allow everyone else to do their job:
Keeping the site running
- Coordinating access and security passes (including parking).
- Managing attendance records and ensuring subcontractors are logged properly.
- Liaising with HR and payroll every week so everyone gets paid correctly.
Running an office people actually want to work in
- Staying on top of stationery, consumables, desks, IT setups and general office upkeep.
- Planning and organising essentials like mail, archiving, waste disposal and cleaning.
- Managing meeting room bookings so there’s no wrestling for space.
Supporting the team
- Booking travel and accommodation.
- Answering calls, taking messages and handling general enquiries.
- Welcoming visitors, clients and subcontractors in a professional, friendly way.
- Dealing with supplier and vendor queries.
- Supporting senior management and Group Functions with whatever admin they need (within reason).
Being a steady pair of hands
- Representing the company professionally.
- Promoting our values, keeping things compliant and sticking to the standards that matter.
- Pitching in on anything else that reasonably comes up. Projects like this always have “other duties”.
