ROLE PURPOSE
  
To maintain, produce and develop multiple project status and performance reports of varying levels of complexity which will aid Senior Management in effective decision making. To contribute towards the enhancement of the business data analytics capability and assisting with the documentation of Kirby processes, plus maintaining and improving existing Business Process Maps.
KEY FUNCTIONS
  

  • Gathering of data for various management reports from differing Business Functions
  • Timely production of various weekly/monthly reports, including data quality checks and reviews
  • Supporting the development and documentation of standard operating procedures
  • Be actively involved in the development and maintenance of the Kirby Way process maps & the Project Register System
  • Develop an understanding of the Kirby data, issue identification and solution proposals

  
KEY TASKS, ACTIVITIES, RESPONSIBILITIES & ACCOUNTABILITIES

  • For various reports: prepare Excel files, gather data, quality check. Also responsible for maintaining and developing enhancements to these reports (sample below):
    • Weekly Project Performance Report
    • Monthly Risk Ranking Report
    • Monthly Manpower Forecast Reports
    • Monthly Group Manpower Analysis
    • Monthly Kirby Way Status Report
  • Supporting the administration of the Projects Register System (sample below):
    • Adding new live projects, deleting completed projects
    • Resolving any data quality issues that may arise
    • Provide support to users: data input (SharePoint) and report users (Power BI)
    • Provide support for SQL Server database
  • Supporting the administration of the “Kirby Way” Business Process (sample below):
    • Maintain existing Business Process Maps
    • Business analysis and fact finding to documenting Kirby business processes
    • Working with Senior Business Process & Data Analyst to refine and sign off on Process Maps
    • Publish Process Maps using Visio and Triaster on the Kirby Intranet
  • Look for ways to enhance reporting and data analytics.
  • Data Quality and System Support:
    • To log / track issues and seek resolution, escalate as required
    • To take part in system design, system specification and system testing as required
  • Perform duties as requested by the Senior Business Process and Data Analyst

  
ESSENTIAL BASIC EXPERIENCES/QUALIFICATIONS:
  

  • Experienced user of MS Excel. Proficient in MS Office: Excel, Word and PowerPoint
  • Intermediate Excel skills and understanding: must be able to understand Excel formulas and follow data links in Excel
  • Basic knowledge and understanding of databases and data management
  • Ability and willingness to learn on the job new skills and software as you work
  • Ability to take ownership and manage existing Excel based reports. Pro-active approach to troubleshooting data or Excel issues that may arise
  • Ability to work unsupervised at times and remain focused on delivering solutions
  • Willingness to do a certain amount of gathering data and publishing regular reports on-time. Have the resourcefulness and initiative to pro-actively chase down missing data to complete reports.
  • Ability to work efficiently and accurately to deadlines, with an attention to detail and the ability to raise issues/clarifications when required
  • Excellent written and verbal communication and problem-solving skills

DESIRED EXPERIENCES/SKILLS:
  

  • Some previous experience of any of the following software would be desirable but not essential: SQL Server, Power BI, BIM 360, Visio, SharePoint and/or Triaster, Access
  • Proven track record in identifying and resolving data issues
  • Problem solving skills to investigate and identify issues in data and assist in developing solutions
  • Experience querying data (SQL or similar) would be useful
  • Third Level Qualification/Certification Computer Science, IT or data related field
  • 1-2 years of experience in data analysis and report generation roll
