Role Overview: We are seeking a detail-orientated individual with an outgoing personality to join our team as a Business Development Administrator. In this role, you will work closely with the Business Development Director and the BD CRM Lead.
  
Responsibilities:

  • Working with the BD Director and BD CRM lead to complete multiple Business Development Administrative activities including other duties as deemed necessary to support the efficient running of the BD department.
  • Managing and monitoring that team members are following the Kirby sales process and using the CRM (HubSpot) system correctly and as trained (full sales process and CRM training will be provided to the successful candidate).
  • Compile daily, weekly and monthly reports; updating, maintaining and general housekeeping of the CRM system and Kirby sales process.
  • Updating and adding new client and influencer contacts; creating new tasks; new project opportunities, updating follow-ups as required.
  • Attendance at internal meetings, taking the necessary written minutes and actions; issuing same to relevant team members.
  • Ensuring that up to date and accurate information is logged in the CRM system.
  • Internal day to day BD support and administration for the BD team. Working in close collaboration with the Business Development Director and team, co-ordinating communications with other wider internal team members from estimating, pre-construction and operations.
  • Assisting Directors with creating documents/reports.
  • Managing a collective calendar (CRM that integrates from outlook) for the BD team
  • Regular communication (in person and via teams) to liaise and closely collaborate with team members in other internal business verticals e.g. Estimating, Pre-Construction, Operations.
  • Continuously improve the BD processes and update CRM accordingly.
  • Manage and issue weekly task and action list.

  
Necessary requirement of the Business Development Administrator

  • Dublin based with a minimum of 3 years’ experience within an office environment.
  • Excellent verbal and written communication skills – fluent/native English
  • Adaptable with strong experience in administration, team support and engagement duties.
  • Excellent people skills, outgoing personality, can do attitude, customer centric.
  • Demonstrate their ability to work with team members, departments and adapting to different styles of working.
  • Understanding of sales processes lifecycle from initial engagement to project won.
  • High level of IT Literacy in Microsoft Word, Excel, PowerPoint and Outlook.
  • Advantageous to possess experience using a CRM or equivalent systems.
  • Ability to prioritise and work within agreed deadlines.
  • Ability to proactively work under own initiative.
